Hiding customer numbers from the people who dial them

A telecaller who can read every number can copy every number. Number masking hides the digits by role while the Call button keeps working.

By AI Call Studio

A good telecaller resigns on Friday. On Monday, some of your customers get a call from a rival with a suspiciously well-informed pitch. You will never prove it. All your contact screens showed the full number to everyone, and anyone could have copied or photographed the list.

Most owners who have run a floor know this story. The usual answers are a confidentiality clause, or restricting who can see the list, and that second one usually means telecallers can't work. Number masking goes at it differently. Telecallers can dial the customer without being able to see the number.

What it looks like

A masked person sees +91 98XXX XX210 in place of the full number. They open a contact, read the history, and press Call. The real number rings. Callbacks and redial work too. They dial from the contact, and a masked number cannot be edited.

The server masks the number before it is sent, so the page never holds the full one. There is nothing to reveal by inspecting the page.

What it covers

  • Screens: contacts, call logs, the Workspace and live calls.
  • WhatsApp and alerts, which show the masked number too.
  • Every download, which holds the masked number for anyone masked.

Downloads matter most. One export would otherwise put the whole list into someone's own folder, in a form that is easy to take with them.

Turning it on

An admin or the owner opens Phone number masking on the Compliance page and chooses who: telecallers, supervisors or both. Supervisors means managers and anyone seated as a supervisor on a desk. It applies straight away. Only an admin or the owner can change this setting, and they always see full numbers.

If one person needs to see full numbers, give them See full phone numbers in Team, Access. A team lead who has to read numbers to a courier might need this. Keep that list short, and review it when roles change.

What it does not hide

Masking hides digits on screens and in downloads. It doesn't hide what is said aloud. A number spoken on a call is still heard, and a recording still holds a spoken number. So there are a few things to do alongside it:

  • Tell your people not to read numbers out to anyone, or to ask customers to repeat their number on a recorded line unless they must.
  • Watch who can download. Downloading recordings needs its own permission, and every download is logged against a name.
  • Watch recording file names. Recording Sync can put the customer's number, its last 4 digits or a masked form in a file name. If those files go to a shared folder, pick the masked form.
  • Think about your CRM and your sheets. Masking applies inside this product. A list that also sits in a Google Sheet that everyone can open is still on that sheet.

It also doesn't stop someone writing down what a customer tells them, and it can't stop a customer giving your telecaller their number on a call. Masking makes a list hard to take in bulk. That is the risk it addresses.

What telecallers will notice

Tell them before you switch it on. It can feel like an accusation if it arrives without explanation. Explain that it protects customers' data and applies to a role, and that nothing about how they call has changed. A caller who is used to searching by number should know that a colleague's customer can still be found by their full number, showing just their name, owner and last outcome.

You will also want to think about callers who keep private notes of numbers, or who are used to calling customers from their own mobiles. Masking only works if calls go through the Workspace in the first place. Calls from a personal mobile leave no recording, no record, and no number your business owns. Moving people off those phones is the bigger step, and this one is the natural companion to it.

Should you turn it on?

If you have telecallers on any kind of commission who could plausibly take customers with them, the case is easy. Masking comes with every plan, at no charge, and it is off until you turn it on. So you can start with telecallers only, leave supervisors as they are, and see how the floor copes. If your supervisors do a lot of manual checking with courier partners or branches, consider giving just those people the permission.

Masking helps you limit who sees personal data. Deciding who needs access, and what you owe your customers, stay your decisions. Our security page lists the other controls.
