Monday's numbers in your inbox, and how not to misread them

A scheduled report saves someone building a sheet. It can also make twelve hand-picked calls look like a trend. Here is how to set one up and read it.

By AI Call Studio

On most floors, the Monday number arrives because somebody stayed late on Sunday. An owner asks how last week went, a team lead exports a sheet, and by the time it is read the campaign has already moved on.

Scheduled reports take that job away. The harder job stays with you, which is reading what arrives without drawing the wrong conclusion.

Setting one up takes four steps

  • Choose how often: daily, weekly, or on the 1st of each month, at the India time you set.
  • Choose who gets it: pick from your team, or add an outside address.
  • Press Preview to see the email built from your figures right now. Preview sends nothing.
  • Press Send test now if you want to see it in an inbox. That is a real email, and it does not count as the last scheduled send.

Each email covers the 24 hours, 7 days or 30 days before it goes out, in India time, and compares each headline number with the same span before that. The sections are calls, campaigns, people, quality, follow-ups and money. A section with nothing in the period is left out, so a missing section means nothing happened there. It does not mean the report broke.

Who should be on the list

Only people who can open Reports and Analytics can receive it, and a teammate without that access is skipped. An outside address, such as your accountant's, gets nothing until it opens the confirmation link we email it.

These emails hold your customers' activity. Check the list whenever someone leaves. It is the kind of thing that stays wrong for a year because nobody looks.

Read the coverage line before the score

Some numbers come from AI jobs that often run only on request: call scores, QA grades and sentiment. If your supervisor graded twelve interesting calls on Thursday, the average grade describes those twelve. A line in Analytics tells you how many calls a number covers. Make it a habit to read that first.

The same goes for Conversation Intelligence. Under On demand, twelve calls someone picked out of thousands still fill the bars, and they look just as confident as a full month would.

Small numbers move a long way

Anything under 20 calls is faded on screen and sorts last, because one call moves it too far. A best hour is named only when one hour has 20 outbound calls. An A/B test shows no verdict until each side has 30 answered calls. If a campaign doesn't have that many yet, the honest answer on Monday is that you do not know yet.

Do not compare AI with people too early

This one causes real damage, because it can lead to the wrong decision about your floor. A person's wrap-up always sets an outcome. An AI call gets one only from analysis. So while analysis has read few AI calls, the AI only view reads low for a reason that has nothing to do with how the AI performed. The Compare tab warns you when this is the case. Take the warning seriously before anyone says the words “the AI isn't working”.

Know what each word counts

  • Converted counts the outcomes you ticked Counts as a success. If nobody ticked any, or someone ticked too many, the number is meaningless.
  • Converted counts only calls that connected, and a team's call counts for the team, without also counting for the agent inside it.
  • Grades are dated by when the call happened, and not when it was graded. A big grading run on Friday can change last Tuesday's figure.
  • Every hour and day is India time, whatever your device is set to.

A sensible Monday

Have the weekly report land before your meeting. Look at the money section and how long the wallet will last at the current pace, since an empty wallet stops calls. Then look at campaigns and hand-overs, where missed hand-overs show up. If a number surprises you, open Analytics with the same filters and go down to the calls in Call Logs. A number you have not checked against a few real calls is a guess with a decimal point.

For the floor itself, a daily report compared with yesterday suits a team lead better. Owners usually want the weekly one. Scheduled email depends on your plan, as the pricing page shows. Analytics on screen and CSV exports stay available on every plan, with or without it. If your plan stops including scheduled reports, they are kept and paused, and start again when it includes them.
